How to Create a Cost Estimate
- 1Enter the business name. Add a logo, address, phone, email, website, or tax ID only if they should appear on the estimate.
- 2Add the client or company name. Contact person, phone, email, and address are optional.
- 3Confirm the estimate number and date. Set Valid until and a project or job name if you use those fields.
- 4Add services or materials with quantity, unit (hour, day, item, project), and unit price. Apply a discount or tax only if they belong on the estimate.
- 5Use notes for assumptions, exclusions, or timeline. Check the live preview, then download PDF, print, or export PNG or JPG.
Estimate vs quotation vs invoice
Use an estimate when the cost is still approximate — a repair that might uncover extra work, or a project whose scope can still change. Use a quotation when you are offering a firmer price for a defined scope. Use an invoice when you are requesting payment. This generator labels the document as an Estimate and does not show amount paid.

- Can I estimate hourly work?
- Yes. Set the unit to hour (or day, project, service) and enter quantity as hours. The line total is quantity times unit price, then optional discount and tax.
- Does the estimate stay after I refresh the page?
- Yes. Fields (and the logo when storage allows) are saved in this browser automatically. Use New estimate when you want a blank form. Nothing is stored on a Toolshelf server.
- Do I need to sign up?
- No. Toolshelf Estimate Generator runs locally. There is no signup wall and no upload of estimate contents for processing.
- Is this a contract or tax filing tool?
- No. The tool generates a customizable expected-cost document from the fields you enter. Default terms say it is not an invoice and not a binding quotation unless you say so. You are responsible for accurate details.
